We are seeking a detail-oriented and customer-focused Reservations Consultant to join our team. As the first point of contact for our guests and travel partners, you will play a key role in delivering exceptional service, managing bookings, and supporting smooth operations across all reservation platforms.
Key Responsibilities
Guest & Agent Communication
Handle all individual and group booking inquiries via phone, email, direct website, OTA platforms, and travel agents.
Provide accurate information regarding accommodation, availability, rates, and policies.
Manage provisional bookings, confirmations, amendments, and cancellations.
Send pre-stay information and correspondence to guests, agents, and tour operators.
Reservations Management
Process reservations through the reservation system (ResRequest, SiteMinder, Synxis, OTA platforms).
Issue quotes, invoices, and confirmations in line with company standards.
Manage reservation payments, debtors’ queries, and travel agent commission invoices.
Ensure accurate guest information is captured, including arrival/departure details and special requirements.
Database & Reporting
Maintain updated contact databases (agents, tour operators, product managers).
Update and monitor all reservation platforms and rate sheets.
Prepare weekly lodge reports and quarterly/annual membership reports (Virtuoso, Serandipians, etc.).
Generate monthly debtor reports and booking trend analyses.
Coordination & Support
Liaise with travel agents, tour operators (local and international), and internal departments to ensure seamless guest experiences.
Join scheduled meetings with the lodge team to align on upcoming arrivals and guest needs.
Assist with ad-hoc requests, including guest visa/prize letters and updating the reservations manual.
Customer Service & Upselling
Resolve guest concerns professionally and efficiently.
Promote additional services and experiences to enhance guest stays and maximize revenue.
Maintain knowledge of local attractions, activities, and events to provide informed recommendations.
Excellent verbal and written communication skills with a friendly, professional, and empathetic demeanor.
Proven experience in reservations, hospitality, or the travel industry.
Proficiency in reservation management systems and MS Office Suite (ResRequest experience advantageous).
Strong knowledge of booking platforms, channel managers, and general reservation processes.
Customer service experience with a supportive and guest-focused approach.
Strong problem-solving abilities, accuracy, and attention to detail.
Ability to multitask, work under pressure, and manage time effectively in a fast-paced environment.
Knowledge of South African tourism regulations, market trends, and best practices.
Familiarity with local attractions, activities, and events in Hoedspruit and surrounding areas.
High school diploma or equivalent required; a certification or qualification in Tourism/Hospitality is preferred.
Flexibility to work weekends, holidays, and outside regular office hours when required.
Shift hours are from 1:00 PM – 9:00 PM (South Africa time).
Must have a strong and stable internet connection and reliable electricity supply, as this is a remote work-from-home position.
Willingness to travel occasionally to the Pretoria Head Office and Jabulani Lodge in Hoedspruit when required.
